Collect First, Schedule Later: Giving Every Task a Concrete Place
Don't rush to pin every task down to a clock. Start from an inbox, then distinguish between concrete appointments and flexible slots.
01. Jot it down first
When an idea or obligation pops into your head, the first step is simply recording it. Postponing organizing and execution reduces immediate friction. The FireFly-ToDo inbox is designed as this exact resting ground: collect first, schedule when ready.
02. Distinguish two kinds of time
Meetings and doctor appointments have hard starting minutes—they belong on a rigid schedule. Tidying up files or buying groceries only require a general completion window—they belong in flexible slots. Giving tasks appropriate time precision is far more practical than overbooking every minute on a calendar.
03. Leave intentional white space today
Open your calendar and survey the non-negotiable commitments first. Then drag essential tasks from your inbox into the remaining open spaces. Resist the urge to pack every hour; always leave breathing room for unexpected surprises.
04. When changes happen, calmly rearrange
A disrupted schedule does not equal failure. Simply nudge tasks to new slots or slide items you can't tackle today back into the inbox. Reviewing your day each evening will give your next schedule a grounded sense of clarity.
